Merchandise Privacy Policy

This policy outlines how the GradTrip 2026 Organizing Association (the “Association”) collects, uses, and protects your personal information specifically related to the purchase of official GradTrip merchandise.
1. Information We Collect
To process your order and ensure you receive your items, we collect the following personal data:
- Identification: First Name and Surname.
- Contact Details: Phone number and Email address.
- Transaction History: Details of the specific items purchased (sizes, quantities, and types).
2. Purpose of Data Collection
We use this information exclusively for:
- Order Fulfillment: Ensuring the correct items reach the correct student.
- Communication: Contacting you regarding order status, stock availability, or collection details at EHL.
- Accounting: Maintaining internal records for the GradTrip budget and inventory management.
3. Payment Processing & Third Parties
Your financial security is a priority.
- Payment Partner: All financial transactions are handled by our secure third-party payment partner (Stripe).
- No Financial Storage: The Association does not see, store, or have access to your credit card numbers, bank details, or any other sensitive payment information. These details are managed entirely by our payment partner under their own security protocols.
4. Data Security and Retention
- Confidentiality: Access to your contact and order information is restricted to the Committee members responsible for merchandise and finance.
- Deletion Policy: Consistent with our general privacy standards, all personal data related to merchandise sales will be permanently erased within 14 days of the trip’s conclusion to ensure your information is not stored longer than necessary.
5. Your Rights
Under Swiss Data Protection Law (FADP), you have the right to:
- Request a copy of the personal data we hold about you.
- Request the correction of any inaccurate information.
- Request the immediate deletion of your data once your order has been fulfilled.
